If you have been tasked with organizing a headshot session for your office, it may seem like an overwhelming job. Between coordinating with the photographer, to making sure everyone shows up on time, it may seem like there are a lot of things that could go wrong.

I have good news for you. Creating a relaxed office headshot session experience in your workplace does not need to be stressful. Just follow these 3 steps to help make it a smooth and enjoyable day for everyone.

1) Communicate your needs to the photographer during the preparation phase

Planning ahead is key to a relaxed office headshot session. You may have specific requests such as backdrop color, how you want your employees to pose, or the exact dimensions of the photo crop needed. By discussing these details with your photographer ahead of time, you will both go into the headshot session on the same page and ready to meet the same goal.

2) Create a sign-up sheet for your employees to schedule an appointment during the session

Give your employees an opportunity to sign up for a time slot during the scheduled headshot session. For example, if I will be at your office from 10 AM until 11:30 AM, create a sign-up sheet with 10-minute time slots during that time and ask your team members to choose an appointment time that will work best with their schedule. That way, each of your team members knows exactly when they are expected to be ready for their session.

3) Send out reminder emails to your team members about headshot day

No matter the size of your team, communication is so important to a relaxed office headshot session. Send out an email with details about headshot day, giving them specific instructions on how they should dress and what they can expect to happen during their session. Knowing what to expect and how to prepare goes a long way to keeping things stress-free and enjoyable.
